4 – Searching for Information in Z Flow

Z Flow includes support for finding information related to workflow and related objects using text search as well as structured queries.

Using “Quick Search” for Workflow Specific Information

To find workflow specific information users can select [Search > New Search] from the top menu and follow the steps shown in the picture below

The results of the quick search will be listed as shown below

Using “Advanced Search”

Advanced Search allows users to use workflow attributes as search criteria to find specific workflow instances that are of interest to you. See the figure below for steps for Advanced Search.

In the next page you will have the option to narrow search criteria for the process workflow type you selected based on the process type attributes as shown below

The process workflows that meet the search criteria will be listed as shown below



3. Repository in Z Flow

Z Flow includes a Repository that provides support for enterprise and supply chain centric data management and sharing. It supports sophisticated security so that only the right information is available and editable by the right people. Z Flow’s repository security authorization leverages Z Flow’s user management (user, roles and groups) capabilities.



2. Types of Data in Z Flow

Z Flow offers rich structured and unstructured data management capabilities to support workflow management. The primary types that are of interest include

Workflow (Process) Attributes

Workflow attributes are structured information that describe the business context of the workflow. These attributes can be used to collect relevant information as well as for rules that determine the workflow path. It is likely that these attributes (highlighted below in the picture) represent different objects (quotes, product master data, customer data, events, etc.) of the system to which Z Flow is integrated.




Z Flow has rich support for managing files as part of process workflows, as independent objects, or in relation to other objects. Files can also be subject to lifecycle management (version, revision and release management) if needed.



Form is a generic structured object that can also be used to represent different type of master and transactional data used in business processes. Forms can be part of a workflow instance.

Typically, you get started with Z Flow as a user performing workflow activities. As a user with appropriate role and related authorizations, you can also create and start new workflow instances.

As an Administrator of Z Flow, however, you can do a number of additional activities that are related to workflow template design, user management, and system management.

An Administrator of Z Flow adds or invites a user to Z Flow. Email is usually used to login into Z Flow as shown below




The home page in Z Flow is designed for making quick work of your work.

My Activities

My activities card lists the activities that you are expected to complete as part of a workflow that you or other users of Z Flow initiated.

You can select the link to go to the workflow instance page to complete the activity. Z Flow supports many type of activities, including data preparation, review, approval, notification and external system integration.


My Processes

My processes card lists processes that you have initiated or workflows in which you are a member. You can select the link to go to the specific workflow instance page.

My Data

Z Flow also allows management of files and structured forms as part of process orchestration. My Data card provides a list of data items (files, structured forms) that are created/owned by you. You can learn more about Document Management capabilities of Z Flow here.

My Logs

My Logs card lists your activity in Z Flow system. It is an easy way to find your activity, the result and time of activity in Z Flow systems. It is needed in some cases for compliance purposes.
